How to Confirm a Booking Request and Send a Payment Request

Follow this guide if you receive a new booking request which you would like to accept. 

Each booking request that is made by your guest via your Lodgify booking engine creates a Quote that has the Policy & Workflow automation turned on.

In case that you don't accept direct bookings but only inquiries, you can evaluate which requests to confirm and which ones to reject. In order to accept a request follow these steps:


Step 1: Enter your Booking

  • Go to your "Reservation System" and enter the booking request which is marked in green with the Booking Status "Open".
  • If it is a new request you will see a notification in blue to "Reject" or "Accept".

NOTE: If for some reason you have decided to close the blue notification without rejecting or accepting the request you can click onto the Quote Status "Pending by Owner" and select "Owner Agrees".


Step 2: Notify the Guest and Request Payment

Once you click "Accept" (or "Owner Agrees"), a new message window will open up to notify the client of the confirmation of the booking.

Option 1: Request Payment automatically

If your "Payment Settings" are set to collect a Reservation Deposit upon booking confirmation the message to the guest will automatically request the Reservation Deposit Payment. 

Once you have sent the booking confirmation and payment request you will have two notifications in your booking. 

1. That you have sent out a payment request (blue).

2. That this payment is overdue as technically this is due on confirmation but the Booking Status is marked as "Booked" (in red).

NOTE: In case the client pays you for instance by bank transfer, the Reservation System will not be notified automatically so you can simply click "Mark as paid" once you have received the requested amount. 

Once the client has made the payment via credit card or you have manually marked the amount as "paid", the notifications will disappear and your "Transaction Record" will be updated accordingly.


Option 2: Request Payment manually

If you did not set any reservation deposit in your property settings, the message to the guest will simply confirm the reservation. 

NOTE: To send a request for a full or partial payment to the guest manually please follow the steps in How to Request a Payment Manually.

Once you have sent the booking confirmation to the client, the Booking Status will appear as "Booked" and the Quote Status as "Agreed".
